Q1. Who will organize Aero India 2009? Is it a Govt. of India sponsored air show and if yes which agency is organizing the event?
Ans. Aero India 2009, Asia's premier beiennial air show, is sponsored by the Govt. of India and is being organized by the Defence Exhibition Organization under the Ministry of Defence, India.
Q2. How can I contact the Organizers? Is there any permanent office functioning at the venue near Bangalore?
Ans. We have our permanent office at New Delhi. But from January 15, 2007, an on site office will be opened at Bangalore in addition to the main office at Delhi. Details shall be made available closer to the show dates.
Q3. What are the requirements for exhibitor badges / contractor passes, and when will they be made available?
Ans. The details of Exhibitors and Contractor personnel must be submitted to the Organizers on forms No. 2 & 3 respectively of the Exhibitor Manual. The dates for submitting completely filled up forms will be declared by the middle of 2006. Badges/ contractor passes would be made available at site closer to the show dates.
Q4. When and how many car parking passes will be allotted to each exhibitor?
Ans. The Exhibitors will get cost-free car parking permits at the rate of one per 50 sq.m of hired space subject to a minimum of one per exhibitor. In addition, exhibitors will get 3 car permits per chalet booked. The parking passes will be available at site from Feb 02, 2007 onwards.
Q5. How can we invite our customers? Is there a separate pass or ticket required for their entry?
Ans. You may invite your customer with an Exhibitor Invite or a ticket, a must for entry. The tickets would be available at various outlets in Bangalore closer to the show dates. The Exhibitor Invitees as per promulgated scale shall be made available in the third week of January 2007.
Q6. Please advise us on the payment schedule and your Banker and account details for money transfers.
Ans. Please refer to our payment mode section for details.
Q7. Where to stay in Bangalore? Could you help us with some details on arranging accommodation and transportation at Bangalore?
Ans. Indian Horizons will assist you on all your tour requirements, including accommodation, transport, hostess, guides and interpreters.
Q8. What furniture items will be provided to a standard shell scheme booth?
Ans. Under a standard shell scheme, a booth will be provided with a table, 2 chairs, 3 spotlights, a waste paper basket and a needle punch carpet.
Q9. Will additional furniture and other items be available at site on payment?
Ans. Yes. Exhibitors may hire additional furniture and a range other items of items as indicated in Order form No 15 with rates. You have to mark your requirements and return the form to the official stand fitter with your payments.
Q10. What is the height restriction for the stalls and exhibits on display?
Ans. The stalls and exhibits shouldn't be more than 4 meters (approx. 13 ft) in height. (For details see Section IV Para 3 & 4 of Exhibitor Manual).
Q11. Can we design some hangings from the ceiling frames?
Ans. No. Suspensions from hall ceiling or fixtures to walls, columns, floor or any part of the structure is strictly prohibited. (For details see Section IV Para 3 & 4 of Exhibitor Manual).
Q12. Is there an aisle space within the area allotted to us? Could we use the space in our stall design?
Ans. You may furnish and decorate the allotted aisle space with carpet of your choice. Arches/canopies may also be designed in such aisle spaces having height between 2.5 to 4 m. But the aisle space should be clear of all structures/exhibits. (For details see Section IV Para 4 Exhibitor Manual.)
Q13. Would it be possible to have a washbasin and tap in our stall?
Ans. No. We don't allow washbasins and taps in the stalls. It's not feasible.
Q14. We have a plan to design a small enclosure within the stand for catering food and drinks. Could some heating appliances be kept?
Ans. No. Cooking or using heating appliances for any other purpose inside the stand is strictly prohibited.
Q15. We have our own stand filter and designer for building our stand. How do we go about?
Ans. Please officially inform the organizers about the contractor employed by you. Apply for their passes in time. Submit your design to the organizers for approval in form No. 16 of Exhibitor Manual. For details see the Manual.
Q16. When can the National Pavilions and those with space over 200 square meters commence building their stalls?
Ans. 20th January, 2007 onwards.
Q17. Is there any provision for cooking or catering facilities at the chalet?
Ans. There would be an onsite 5-star Restaurant, an A/C Food Court, and a moderately priced Restaurant. You can employ a caterer of your choice for serving food at the chalet. The pantry in the chalet also has the provision for heating appliances only. Use of LPG cylinders or cooking of any kind inside chalet is strictly prohibited.
Q18. We need additional power for some special display items in the stall. Could it be made available?
Ans. Yes. There is a provision for additional power requirement on payment. To avail the facility, you must apply in advance in Form No 17.
Q19. We have our own Freight-Forwarding agency to handle our goods. What are the formalities involved?
Ans. You must inform the organizers and the official Freight-Forwarding Agency in advance, as the on-site handling of goods are permitted only by the official Freight Forwarding Agency.
Q20. We are planning some advertisements for our company. Could it be possible at the show?
Ans. Yes. You are permitted to distribute handbills or exhibits-related printed material only. Advertisements can also be published in the official catalogue or Show Directory through the official publisher, details will be promulgated separately.
Q21. What security measures are to be followed and what security the organizers will provide?
Ans. The organizers will provide general security of the site. Point security will be the responsibility of the Exhibitors.
Q22. Do we need an insurance cover of any kind?
Ans. Yes. Insurance cover is a must criterion for participations.
Q23. What formalities are involved in displaying an aircraft at the show?
Ans. Please refer the Flying Manual, which shall be mailed to you on confirmation of participation.
Q24. I am a media person desirous to attending Aero India 2009. How can I attend the show?
Ans. Fill the Media Accreditation Form on Web site and send us along with your 2 recent passport size photographs and copies of passport and press card. Just provide us with your contact details and we will get in touch with you.
